Privacy policy
Updated 13 October 2026
This policy covers the Zoom side of Meeting Assistant, run by RHC Community ("we"): what it gets from Zoom when you connect your Zoom account, what it does with it, and how to have it deleted.
What we collect from Zoom
| What | Why | Kept |
|---|---|---|
| Your Zoom user ID, account ID, name and email | To know who connected, show you which account is connected, and match Zoom's notice if you remove the app | Until you disconnect |
| Zoom access and refresh tokens | To request a one-meeting token when you ask the assistant to join a meeting you're in | Until you disconnect; refreshed as Zoom requires |
| Meeting numbers and passcodes you give it, and how each join went | To join the meeting you asked for, and tell you what happened | 30 days |
Signing in on the web page keeps you signed in with a cookie in your browser for up to 12 hours; it holds only who you are, signed so it can't be altered, and nothing is stored on our side for it.
We don't access your meetings list, recordings, contacts, chats or files, and we don't ask Zoom for permission to.
In a meeting
The assistant joins as a participant. Nothing from a meeting is ever stored: it does not record or transcribe audio or video, and it does not keep the meeting chat. It reads chat messages sent to it only to answer its commands.
How it's used and shared
- Only to join meetings you ask it to join, while you're in them.
- Not sold, not used for advertising, not shared with anyone except as needed to run the service (our hosting provider, Google Cloud) or as the law requires.
Deleting it
Disconnect, or remove Meeting Assistant from your Zoom account (see Using it with Zoom). Your Zoom profile details and tokens are deleted at once. Join records expire after 30 days, or ask us to delete them sooner.
Your rights
Depending on where you live, you may have the right to ask what we hold about you, to have it corrected or deleted, to object to or restrict its use, and to receive a copy. Email meeting.assistant@rhccommunity.com and we'll respond within 30 days. You can also complain to your local data protection authority.
Security
Data is kept on access-controlled servers and travels over encrypted connections. Tokens are only used by the service itself.
Changes
If this policy changes, the date above changes with it. Significant changes will be noted here.
